Administrative Assistant I

The Northeastern Judicial Circuit Public Defender's Office is seeking to fill an Administrative Assistant I position as follows: 


  •  Performs receptionist and telephone duties.
  • Converses with and assists clients at the direction of staff attorneys. May converse with and assist Spanish speaking clients. 
  • May be required to assist with any other administrative duties as necessary. Is responsible for overall image of reception area by maintaining professional atmosphere in person and on telephone.
  • Must maintain a working knowledge of departmental programs and services sufficient to route routine complaints, inquiries and requests to appropriate personnel.
  • Answers the telephone and assists with specific or general information in response to public or official inquiries; routes requests for services, complaints and other public contact work. 
  • Types agreements, documents, tabulations and data, letters, memoranda, vouchers, operating reports and other materials, including matters of strict confidence. 
  • Includes preparation of complex computer spreadsheets. 
  • Assumes routine projects to relieve staff of administrative details. 
  • Assists the public by providing information or transferring calls regarding the department's services.  
  • Processes departmental records and correspondence in accordance with established policies and procedures. 
  • Establishes filing system for and maintains file materials. 
  • May perform clerical and data entry work related to the function of the assigned department.
  • Assists with checking out & issuing equipment as well as assisting with facility supervision as necessary. 
  • Performs other related duties as required.


  •  Associate's degree from an accredited college or university OR Two years of related experience.


  •  Supplemental coursework in typing and bookkeeping.
  • Three years Administrative Assistant experience. 
  • Fluent in Spanish
  • Ability to converse in Spanish and act as an interpreter if necessary.


  •  Tasks require the ability to exert light physical effort in sedentary to light work, but which may include some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds).  Tasks may involve extended periods of time at a keyboard or workstation.  Duties require the ability to operate a personal computer.
